Purpose

The purpose of this FAQ is to provide a summary of the processes that have been established for the vendor sponsors participating in the Sharing@LearnShare Conference, being held on September 14-15, 2006.

If you need clarification for or have questions about information not covered below, please contact us via email at Conferences@LearnShare.com. We will do our best to reply within two business days.


Sponsor/Exhibitor Information

The following logistics for participating 2006 Sponsors / Exhibitors have been reviewed and approved by the Renaissance Atlanta Hotel Downtown:

Sponsors can set up their exhibit/demo tables on Wednesday (September 13) after 2:00 p.m. or Thursday morning beginning at 6:00a.m. This allows time to participate in the Continental Breakfast at 8:00 a.m. to focus on relationship building.

Demo tables are six feet long. Table skirts and cloths will be provided for your table.

There will be no complimentary Power or Internet Access for any sponsor or exhibitor.

Please note the following exhibit hours:
September 14, 2006
Exhibits will be open from 8:00 am – 6:00 pm.

September 15, 2006
Exhibits will be open from 8:00 am – 12:00 pm.

Each sponsor has been assigned an exhibit/demo table number:

In the event you must ship materials for a function at the Renaissance, all package/box deliveries must be addressed as follows below:

Your shipments should be sent to arrive no earlier than September 10, 2006.  All packages and boxes received for individuals, attendees or vendors are subject to shipping/handling charges for the total weight of all materials sent as follows:

These charges apply to all meeting and conference attendees.

Incoming Packages:  

$5.00/package under 20lbs (first 10 packages accepted at no charge)
$10.00/box between 20lbs and 50lbs;
$15.00/box between 50lbs and 70lbs;
$25.00/crate, display area or over 70lbs;
$75.00/pallet (pallets must be self-contained and properly sealed).

Outgoing Packages:  

$5.00 flat rate per item shipped under 50lbs regardless of size, or destination. 
$20.00 flat rate per item shipped for any display booth, crate or box over 50lbs regardless of size, weight or destination.
All of these charges above are in addition to the regular freight charges imposed by the couriers (Airborne, FedEx, etc). 

Storage Charges - $30.00 per (100) pounds of weight per day for every day prior to the 5 day limit.

Charges will apply to any materials received more than 5 calendar days before the date of guest pick-up.

Loading /unloading charges:  $35.00 per man-hour or any portion of an hour will apply if loading and unloading is involved, either manually, or by pallet jack for crates and pallets.

This fee will be paid by the sponsor not by LearnShare.
Please bring a credit card to the event for all shipping charges.

**The Exhibit/Demo supplies will be stored in a secure area and will be at your table upon arrival.

If possible, we suggest providing the tracking number and carrier to Matt when you ship items so he can properly account for them.


Return Shipping

After the conference, please make sure your return boxes are prepared and affixed with pre-paid shipping labels. You should bring your own packing materials, account numbers, etc. You must also set a pick up time with your courier of choice to pick the boxes up at the Renaissance.

Please be aware that contact information for individuals attending will be made available to all of the sponsors.  We will email you a post conference list by Tuesday March 7, 2006

Contact Information made available will include the following; Name, Company, Title, Phone, Email. (THERE WILL BE NO MAILING ADRESSES PROVIDED)

**Please use discretion when following up with attendees to ensure professional standards are used.
Sponsors who do not exercise professional standards in follow-up communications will not be invited to participate in other events.


Presenting Sponsors

When is my final presentation due and to whom do I submit it?

All final PowerPoint .ppt presentations are due on or before August 31, 2006 and should be submitted to Matt Franks at matt.franks@learnshare.com.

In what format should my presentation be?

All final presentations should be in Microsoft PowerPoint .ppt format and use template format of your choice.

What equipment will be set up in the rooms for speakers to use?

For your breakout session, LearnShare will provide the following equipment:

LCD projector
Flip chart
Laptop
8x8 Projector Screen
